Assistant Director of Financial Aid

LOCATION: Wayland Baptist University (WBU) – Plainview Campus 

DIVISION/DEPARTMENT: Office of Financial Aid 

SUPERVISED BY: Executive Director of Financial Aid

GENERAL RESPONSIBILITIES:
The Assistant Director of Financial Aid assists prospective and current students with all aspects of the financial aid process and is responsible for overseeing the operations of the Financial Aid Office in the absence of the Executive Director. This role serves as the primary support for the Executive Director in the collection, processing, disbursement, reconciliation, and reporting of federal, state, and private financial aid for students at Plainview, external, and virtual campuses. Additionally, the Assistant Director is responsible for running the day-to-day operations of the Financial Aid Office and assists in monitoring and ensuring compliance with federal and state regulations, internal policies, Satisfactory Academic Progress (SAP), and Return to Title IV. The Assistant Director also supervises and manages Financial Aid Advisors, ensuring their tasks align with office operations.

SPECIFIC TASKS AND DUTIES:

  1. Financial Aid Application Analysis:
    Analyze financial aid applications and confidential financial data to determine student eligibility for institutional, federal, state, and other financial aid programs. Advise students and families on costs, financial aid policies, procedures, and funding options in a professional and timely manner. Review and respond to special circumstance requests.
  2. Regulatory Compliance:
    Ensure compliance with federal, state, and institutional regulations and policies. Stay updated on federal and state regulations, making recommendations for policy or procedural changes as needed. Assist in staff training on compliance matters.
  3. PowerFAIDS System Support:
    Assist in the annual setup and testing of the PowerFAIDS system, ensuring accurate and efficient operation.
  4. Communication and Publications:
    Support the annual review and update of financial aid letter/email templates, publications, and website content to ensure clear and accurate communication with students.
  5. Satisfactory Academic Progress (SAP) Monitoring:
    Monitor SAP annually for Plainview and external campuses. Review and respond to SAP appeals for students on financial aid suspension, ensuring adherence to institutional and regulatory guidelines.
  6. Return to Title IV (R2T4) Reviews:
    Evaluate student withdrawals (official and unofficial) and manage the Return of Title IV funds in accordance with federal regulations.
  7. Federal Aid Program Support:
    Assist in collecting, processing, disbursing, reconciling, and reporting student information for federal programs such as the Pell Grant, Supplemental Education Opportunity Grant (SEOG), and Direct Loans.
  8. State Aid Program Support:
    Assist in the management of state financial aid programs, including the Tuition Equalization Grant (TEG) and College Access Loans (CAL), ensuring accurate processing and reporting.
  9. Private Loan Program Support:
    Support the collection, processing, disbursement, reconciliation, and reporting of private education loans.
  10. Operational Leadership:
    Serve as the senior member in charge of operations and personnel in the absence of the Executive Director of Financial Aid, ensuring smooth office operations. Additionally, run the day-to-day operations of the Financial Aid Office, ensuring that tasks are completed efficiently and align with institutional goals.
  11. Financial Aid Advisor Supervision:
    Supervise and manage Financial Aid Advisors, providing leadership, guidance, and performance evaluations. Ensure advisors effectively assist students with their financial aid needs and maintain up-to-date knowledge of policies and procedures.

MINIMUM QUALIFICATIONS:

Education, Certification and License:

  1. Bachelor Degree required.
  2. Master Degree is preferred.

Experience and Knowledge:

  1. Five (5) to seven (7) years of progressive office experience is required.
  2. Experience in Financial Aid is preferred.
  3. Experience with PowerFAIDs preferred.
  4. Management experience preferred.
  5. Experience with website maintenance preferred.

Skills and Abilities:

  1. Strong oral and written communication skills; including public speaking.
  2. Strong organizational and analytical skills.
  3. Ability to work with a team or independently.
  4. Intermediate level (or higher) skill with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).

Additional Requirements:

Must have no delinquent or have defaulted on any Student Loans.  A credit check will be conducted to insure the requirement is met.

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel and teach at external campuses.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
